Birthday / Anniversary calendar entries via Outlook UI

The following describes the process followed adding Birthday/Calendar events to the Outlook calendar via the Outlook user interface. The calendar to which these get added may not be the one you are expecting – see “

Adding an Anniverary/Birthday via the Outlook user-interface

  1.  If adding a Birthday/Anniversary value to an existing contact where a date value did not previously exist in an infostore that has a default calendar, the Birthday/Anniversary event will be added to the default calendar in that folder immediately
  2. If adding a <new> Birthday/Anniversary value to an existing contact where a date value did not previously exist in an infostore that does NOT have a default calendar, a message will be presented asking:

<Create the “Person’s Birthday” event in your personal  calendar> – Yes/No

If you select <yes>, an entry will be added to the default calendar for the
profile in use.

If you select <No>, the question will be repeated any time certain fields
get accessed or modified as described under Birthday/Anniversary field
triggers at the end of this article.

If you do not want the Birthday/Anniversary to be added to the calendar
AND also do not want to keep answering the message, the only way to do
that is to answer <yes> and then manually delete the entry from the
calendar.

 3. If adding a <new> contact which includes a Birthday/Anniversary value, the following message will be presented:

<The item must be saved. Would you like to save it now?>  – Yes/Cancel

If you select <Yes>, an entry will be added to the applicable default
calendar similar to items #1 & 2

If you select <Cancel>, the contact item will be saved without the
respective date value and no item will be added to the calendar.

Birthday/Anniversary update trigger fields

If you have added a new BirthdayAnniversary value to an existing contact item but answered <No> when asked whether or not it should be added to the calendar, the question will continue to get asked whenever one of the following conditions occurs:

  • The Birthday/Anniversary date value is changed
  • The <FullName> button is clicked and <OK> is selected to close the resulting window whether or not any change to the FullName is made
  • Any field is modifed which impacts the value of any <derived> field such as FileAs (derived = an Outlook field that gets automatically updated based on the change in value of another field)
